Q: Are all of my scanned pages grouped into one document?
A: Only if you want them to be. ScanDox can either
allow you to select which pages belong in each file
or the business rules can be set to separate the
pages automatically.
Q: Which scanners will work with ScanDox?
A: ScanDox requires that you use a scanner with
TWAIN drivers. Whether it's a desktop scanner,
such as the Avision 220 C2, or a large
copier/scanner, such as the Canon ImageRunner
105, is up to you.
Q: Since ScanDox is a software, does that mean
only the person whose computer it's installed
on can use it?
A: No. Though the software is installed on
specific machines, each authorized user is
provided with their own unique login. The login
information dictates which scanning rules are
available to each user.
Q: Can ScanDox index my files prior to routing
them to the IDS VLibrary?
A: Yes. ScanDox will communicate with the IDS
VLibrary to identify the index fields available
in each folder on the system, and then provide
you with an interface that will allow you to
index your files prior to ScanDox routing them
to the archival and retrieval system.
Q: How many business rules can I have associated
with my login?
A: That depends on how many business rules are
requested at the time of purchase. For example,
if your company were to have 20 business rules
included with the system, you could have between
1 and 20 rules associated with your login.
Q: What is a business rule?
A: IDS has developed a way to automate as much
of the scanning process as possible by grouping
together a number of individual commands into
a single action. The business rule represents
the joining of these various commands into one
clickable button, and includes everything from
communicating with the scanner to preset the
imaging specifications (paper size, targeted
resolution, file format, etc.) to post-scanning
options such as indexing, OCR and bar coding
recognition to determining the file's final
routing location (document management system,
local hard drive, e-mail, fax, etc.)
Q: Is it possible to automate the entire scanning
process or will I always have to do something manually?
A: Business rules can be created that will automate
the entire scanning process, but often times you're
better off with a small amount of manual intervention.
For example, when batch-scanning a variety of
documents or forms you may not want the files
to be routed to the same folder. The best way
to route your scanned documents may be to
explicitly identify each file's final locations,
which only can be done manually.
Q: Can I make my own business rules?
A: Yes. Initially, IDS will help you build
your business rules to help ensure of a smooth
implementation. After that, you can build
your own rules using our Rules Manager or,
if you're on a support contract, you can
continue to have IDS help build and change
your rules for you.
