Frequently Asked Questions About AbbaDox

Q:  Can I upload any type of file into the patient charts?

A :  The only documents that can be stored in the patient charts are:

  • Reports created using Voice2Dox
  • Transcriptions typed by IDS Transcription Services or using our MT typing software
  • Scanned documents
  • Lab results that originate from our direct interfaces with Quest Diagnostics and LabCorp.

Q:  Will you customize the tabs to match our physical patient charts?

A:  Yes.  The tabs in the patient charts are customized to match your preferences.

Q:  What if our office does not have any tabs in our patient files?

A:  We understand that some facilities prefer not to file their paperwork using tabs to separate document types.  In these cases, the patient charts in AbbaDox can consist of one tab into which all documents are filed.

Q:  What if I want to add or remove a tab in the patient chart?

A:  Tabs can be added or removed by contacting our customer support department.  When calling support, please indicate which other tab you would like the documents to appear under.

Q:  How do I get non-transcription reports into AbbaDox?

A:  There are three ways you can upload your paper documents into AbbaDox: (1) Scanning them yourself using ScanDox; (2) Sending your documents to our Document Scanning Services division for imaging and archival; or (3) Scanning them yourself and utilizing IDS’ Dynamic Sorting service.

Q:  Can we use our own scanner to scan documents into AbbaDox?

A:  Yes. You can use your own scanner; however you will need to have a licensed copy of ScanDox, our proprietary scanning application.  ScanDox is fully integrated with AbbaDox and will route your documents into the appropriate patient file.

Q:  How many logins can be assigned to my account?

A:  You can have any number of logins assigned to your account and assign functionality according each user’s role in your organization.  For example, each doctor could have their own login accounts allowing them to see the reports they dictated.  Meanwhile, an office manager can have administrative rights with the ability to see all reports.

Q:  Are doctors and office managers the only people that are allowed log in to AbbaDox?

A:  No.  You can assign a login for any person you want, including billing managers and referring physicians.

Q:  What kind of security do you have in place?

A:  IDS has incorporated multiple layers of security to ensure that your reports and scanned documents remain private and protected.  The following is a brief outline of our security protocols:

  • AbbaDox uses 128-bit encryption to protect all data stored on our servers.  In addition, our SSL encryption has been authenticated by VeriSign, the pre-eminent authority on Internet security certification.
  • AbbaDox employs a multi-level security hierarchy to establish user permissions throughout the system.  This approach enables practice administers to specify employees’ functions and system access.
  • AbbaDox maintains detailed audit logs on a file-by-file basis.  Every action associated with a transcription, scanned document or lab report for the life of the document on our system is recorded in the audit logs, and includes the name of the person accessing the file, the time stamp of the request, any fax numbers or e-mail addresses to where the file would be distributed, and the IP address of the computer used.
  • Our security also encompasses the servers themselves, which are safeguarded at the NAP of the Americas, one of the most secured hosting facilities in the world.  IDS’s servers are protected by a series of access and environmental controls that are explained here

Q:  Is AbbaDox HIPAA compliant?

A:  IDS takes HIPAA very seriously and has incorporated numerous protocols to maintain compliance with the Privacy and Security Provisions.  In addition to the security features listed above, we also perform the following:

  • All e-mails sent from AbbaDox are secured.  However, since compliant e-mailing can be difficult to achieve at times – the Security Provisions mandate that both the sender and receiver have secured connections – IDS has created a way to facilitate the transfer of your reports to referrers and referrals while still maintaining compliance.

Q:  Is AbbaDox only available on the Internet?

A:  Yes.  You will need an Internet connection to access and utilize the features in AbbaDox.

Q:  How often is AbbaDox updated?

A:  AbbaDox is updated frequently, on average twice per month.  Many of the upgrades take place behind the scenes - such as greater database efficiency - and do not affect the accessibility of the system.

Q:  What disaster recovery procedures do you have in place?

A:  IDS has an in-depth disaster recovery plan in place, which includes:

  • IDS maintains redundant servers that are constantly mirroring each other in order to ensure that there are multiple copies of your data.  IDS also maintains secondary servers at a separate hosting facility.
  • We physically co-locate our servers in a facility that is designed to withstand a Category 5 hurricane, and is also protected from flooding.
  • The facility is equipped with redundancies in Internet access, electricity and other environmental controls to ensure of maximum up-time.

Q:  How long are the patient records kept online?

A:  Typically, the first two years of hosting are included in the service agreement.  That time period can be extended to any length that is required by the customer.  This extended time can be done by contacting an IDS representative and making the necessary arrangements.

Q:  What if I’m not able to find a patient or specific document in AbbaDox?

A:  Your reporting and scanning fees includes customer support.  If you are unable to locate a patient or document using our extensive search capabilities, please contact our customer support department for assistance.
